Provided Job Description

 

Within Allegis Group, the Field Support Group (FSG) is responsible for the management of internal and external staff and manages contractor care. Once a candidate is placed, the FSG team oversees the entire contractor lifecycle, including onboarding, offboarding, compliance, and contract management. They serve as the primary point of contact for any administrative queries, ensuring an excellent customer experience and compliance with onboarding and offboarding procedures. They also support payroll for AÜG workers. As a Business Support Associate (BSA), you will independently manage your contractor base and support projects within the broader team. You will ensure readiness for and compliance with internal and external audits within your area of responsibility and region.

 

We are looking for a proactive and strategic Business Support Associate (BSA) to join our team in Germany. The ideal candidate will have a strong personality, capable of driving change and taking ownership of daily business operations. This role requires someone who can work independently, manage relationships across international teams, and contribute to the growth and development of the business.

Qualifications

  • Experience in managing relationships and coordinating tasks across teams.
  • Former customer support or HR administration experience is highly preferred, with understanding of Germany employment law legislation including knowhow in engaging with Freelancers and AUG – Arbeitnehmerüberlassung / Leiharbeit.
  • Solid working knowledge of Microsoft packages and People Soft (Oasis, HR) highly advantageous, strong IT affinity.
  • Eagerness in growing into a leadership role
  • Understanding of the principle for providing excellent customer service.
  • Able to manage high workloads with the ability to organize and prioritize while maintaining a high level of accuracy and attention to detail.
  • Able to understand and communicate complex information.
  • Experience with benefits administration and onboarding/offboarding processes.
  • Able to work under pressure and still maintain a high level of accuracy and attention to detail.
  • Able to handle sensitive information with confidentiality and professionalism.

Responsibilities

Employee and Contractor Lifecycle Management

  • Manage onboarding and offboarding for new hires, including offer letters, contacts management, background checks, and scheduling calls etc effectively and in line with local legislation
  • Facilitate new hire orientations and ensure paperwork is completed accurately.
  • Managing offboarding processes in a compliant and timely manner
  • Maintain and update records, administer benefits programs, and support payroll accuracy.
  • Prepare and distribute documentation for contractual changes and ensure compliance.

 

Customer Support and Business Guardianship

  • Deliver excellent customer experience, act as a point of contact for queries, and develop strong relationships with internal and external stakeholders
  • Take proactive ownership of daily business operations and implement controls
  • Coordinate tasks and roles within the team to support business continuity.
  • Contribute to strategic planning and knowledge transfer within the region
  • Seek and apply advice to improve processes and efficiency
  • Execute risk management processes, advise on compliance, and analyze department processes for improvement.
  • Utilize technology to enhance accuracy and perform internal audits.

Leadership

  • Demonstrates strong leadership skills by working independently and proactively seeking opportunities for process and efficiency improvements.
  • Supports and manages projects within the broader FSG Team to enhance business scalability.
  • Shows eagerness to grow into a leadership role in tandem with the business's regional growth.
